Privacy Policy

This policy describes how SJR Logistics LLC ("we", "us") collects and uses information in Cargo Cockpit ("the Service"), our internal operations application. The Service is used by our owners, office staff, contract drivers, and job applicants โ it is not a consumer product and we do not sell personal information to anyone.
1. Information we collect
- Identity and contact details โ name, phone, email, and for drivers and applicants: CDL and DOT medical card images, driving-record answers, and hiring documents you submit.
- Work records โ schedules and load assignments, completed work, time-off requests, training and road-test records, incident and accident reports (including scene photos drivers upload).
- Performance data โ driving-safety scores from our telematics provider (Motive) and operational performance data from the freight platforms we operate on (for example Amazon Relay).
- Payroll data โ pay rates, weekly pay amounts, and the last four digits of the SSN/EIN used to match payroll records in Gusto. We never store full Social Security numbers or bank account numbers.
- Company financial data โ company administrators may connect our Intuit QuickBooks account. The Service retrieves accounting reports and account balances read-only; it never modifies the books. QuickBooks access tokens are stored encrypted in transit and at rest on our hosting provider and can be disconnected at any time. QuickBooks data is visible only to company administrators and is not shared with any other party.
- Bank and card account data (Plaid) โ company administrators may connect the company's own bank and credit-card accounts through Plaid, which the Service uses to retrieve balances and transactions read-only for cash-flow forecasting. The Service never sees or stores online-banking credentials โ authentication happens directly with the financial institution through Plaid Link. Access tokens are stored encrypted and connections can be revoked at any time. This data is visible only to company administrators and is not shared with any other party. Information collected by Plaid is governed by the Plaid End User Privacy Policy.
2. How we use information
To run the business: building schedules, paying drivers, meeting safety and insurance obligations, managing hiring, maintaining required Department of Transportation records, and understanding company finances. We do not use Service data for advertising and we do not sell it.
3. When we share information
Only as needed to operate:
- Insurance carriers (for example driver information required for coverage approval and accident claims).
- Payroll processing (Gusto) โ contractor payment details.
- Freight platforms (for example Amazon Relay) โ driver assignments required to perform the work.
- Service providers that host the application and database.
- Legal requirements โ when required by law, regulation (including DOT/FMCSA), or valid legal process.
4. Security
All traffic is encrypted with TLS. Passwords are stored only as salted cryptographic hashes. Access is role-based: drivers see only their own records, and financial data is restricted to company administrators.
5. Retention
Employment, safety, and payroll records are kept as long as required by law (including DOT/FMCSA retention rules) and for legitimate business needs. Applicant records are kept on file for future openings unless you ask us to delete them.
6. Text (SMS) messaging
If you provide your mobile number on our job application form (or directly to us as a driver), you consent to receive text messages from SJR Logistics about your application and, if hired, your employment โ for example hiring next steps, document requests, trip assignments, and paperwork reminders.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
- Message frequency varies โ typically a few messages during the hiring process and occasional work-related messages thereafter.
